MODERN SLAVERY & HUMAN TRAFFICKING POLICY
Introduction.
Modern slavery is a particularly heinous crime and a morally reprehensible act that deprives a person's liberty and dignity for another person's gain. It is a real problem for millions of people around the world, including many in developed countries, who are being kept and exploited in various forms of slavery. Every company is at risk of being involved in this crime through its own operations and its supply chain.
At event Ultimate International, we have a zero-tolerance approach to modern slavery and are fully committed to preventing slavery and human trafficking in our operation and supply chain. We have taken concrete steps to tackle modern slavery, as outlined in out statement. This statement sets out the actions that we have taken to understand all potential modern slavery risks related to our business, and to implement steps to prevent slavery and human trafficking during the financial year 2022.
Most Ultimate staff are based in the UK, and the majority are engaged in the development of the company and servicing events. Ultimate does not therefore consider there to be a high risk that the people within its business are the victims of modern slavery or human trafficking. Nevertheless, Ultimate has policies in place that are intended to ensure that they are not.
Ultimate has procedures in place for ensuring that only individuals with the right to work in the UK are employed in its business. These procedures are reviewed annually. During the recruitment process, identity and right to work documentation are obtained in accordance with Home Office guidelines. Where staff are engaged on a temporary basis using recruitment agencies, the agencies are required to undertake appropriate right to work and reference checks on Ultimate’s behalf.
Our business and supply chains
We are Ultimate International Limited.
Our business activities are Creative Event Production and Crewing and we operate throughout the United Kingdom and Europe.
We establish a relationship of trust and integrity with all our suppliers, which is built upon mutually beneficial factors. Our supplier selection and on-boarding procedure includes due diligence of the supplier's reputation, respect for the law, compliance with health, safety and environmental standards, and references.
We have documentation and training in place for our staff to be aware of: -
Risk assessment
In the past year, we conducted a risk assessment of our supply chain by taking into account:
The risk profile of individual countries based on the Global Slavery Index, especially those from former Eastern block countries.
The business services rendered by the suppliers.
The presence of vulnerable demographic groups.
A news analysis and the insights of labour and human rights groups.
This assessment will determine our response and the risk controls that we implement.
Policies
Ultimate operates the following policies for identifying and preventing slavery and human trafficking in our operations:
Whistleblowing Policy - we encourage all employees, customers and suppliers to report any suspicion of slavery or human trafficking without fear of retaliation. We provide a confidential helpline to protect the identity of whistle-blowers.
Code of Conduct - our code encourages employees to do the right thing by clearly stating the actions and behaviour expected of them when representing the business. We strive to
maintain the highest standards of employee conduct and ethical behaviour when operating and managing our supply chain.
Supplier due diligence
Ultimate International conducts due diligence on all new suppliers during on-boarding and on existing suppliers at regular intervals. This includes:
Assessing risks in the provision of particular services.
Auditing the suppliers, and their health and safety standards, labour relations and employee contracts.
We require all suppliers to attest that:
They don't use any form of forced, compulsory or slave labour.
Their employees work voluntarily and are entitled to leave work.
They provide each employee with an employment contract that contains a reasonable notice period for terminating their employment.
They don't require employees to post a deposit/bond or withhold their salaries for any reasons.
They don't require employees to surrender their passports or work permits as a condition of Employment.
Awareness
Ultimate International has raised awareness of modern slavery issues by putting up posters across our facilities and sending an email that is focused specifically on modern slavery to all our staff, which explains:
Our commitment in the fight against modern slavery.
Red flags for potential cases of slavery or human trafficking.
How employees should report suspicions of modern slavery.
Modern Slavery
1. Physical and psychological abuse
Many victims will look malnourished and may appear withdrawn when you try to communicate with them. Signs of physical abuse could be apparent, such as bruising and other injuries.
2. Restricted movement
Victims may not be allowed to travel alone and will not be in possession of their passport. They may seem under the influence of others, have little interaction, and be unfamiliar with the surroundings in which they are working.
3. Poor accommodation
A victim of modern slavery will likely have an extremely poor standard of. living, often staying on site in cramped and dirty conditions with other workers.
It is also quite possible that they would not know their home or work address.
4. Lack of personal belongings
As well as having no form of identification, such as a passport, a victim of modern slavery will likely have very few personal possessions and wear the same clothes every day. These clothes could appear unsuitable for their working conditions.
5. Unusual behaviour It is quite common for victims of modern slavery to avoid eye contact, continually appear frightened, and allow others to speak
for them when addressed directly. They will be very reluctant to ask for help, quite possibly due to fear of further abuse or fear of deportation.
We haven't been made aware of any allegations of human trafficking/slavery activities against any of our suppliers, but if we were, then we would act immediately against the supplier and report it to the authorities.
Training
In addition to the awareness programme, Ultimate International has rolled out a fresh e-learning course to all employees and supplier contacts, which covers:
Various forms of modern slavery in which people can be held and exploited.
The size of the problem and the risk to our organization.
How employees can identify the signs of slavery and human trafficking, including
unrealistically low prices.
How employees should respond if they suspect slavery or human trafficking.
How suppliers can escalate potential slavery or human trafficking issues to the relevant
people within their own organization.
What external help is available for the victims of slavery.
What terms and guidance should be provided to suppliers in relation to slavery policies and Controls.
An attestation from employees that they will abide by Ultimate’s anti-slavery policy.
Measuring how we're performing
How many employees have completed mandatory training?
How many suppliers have filled out our ethics questionnaire?
How many suppliers have rolled out an awareness and training programme that is
equivalent to ours?
How many reports have been made by our employees that indicate their awareness of and
sensitivity to ethical issues?
What are the findings of our Human Rights team, (directors) which reviews how we are addressing modern slavery and human trafficking?
This statement covers 31st March 2021 to 28th February 2022 and has been approved by the board of Ultimate International Limited at the board meeting on 31st March 2021.

GDPR
Keeping Data Safe
The General Data Protection Regulation (GDPR) is a law that governs how organisations process personal data.
Following Brexit, there are now two GDPRs: the EU GDPR and the UK GDPR.
The EU GDPR supersedes the EU Data Protection Directive 1995 and all member state law based on it. It applies to organisations that process or control the processing of EU residents’ personal data, wherever the organisations are based.
The UK’s post-Brexit version of the EU GDPR is the UK GDPR. It is substantially similar to the EU regulation and places similar obligations on data controllers and processors.
Brexit and data protection in the UK:
This new regime is known as ‘the UK GDPR’.
Our Commitment:
Ultimate International Limited is committed to ensuring the security and protection of the personal information that we process, and to provide a compliant and consistent approach to data protection. We have a Data Protection Policy in place which complies with existing law and abides by the data protection principles. However, we recognise our obligations in updating and expanding this program to meet the demands of the GDPR and the UKs Data Protection Act.
